How do I search for candidates?
Once you are logged in, from Candidate Services click on Candidate Search. You can look at your current candidates by clicking on View my Candidates or search for any candidate to see if they have a Scottish Candidate Number (SCN)
A Scottish Candidate Number (SCN) is a nine digit number allocated to all candidates who undertake qualifications with SQA and it is allocated when they are registered with us for the first time.
A Unique Learner Number (ULN) is a ten digit number allocated to candidates who undertake certain qualifications in England and maybe needed for some qualifications that are jointly awarded with SQA. ULNs are allocated by the Learning Records Service - www.learningrecordsservice.org.uk/products (formerly known as MIAP Managing Information Across Partners)

You can search for any qualification through the Qualifications search function. You can View your approved qualifications or search for any qualification by a simple search with the qualification code or click on Advanced Search and search by Title, level or Type.
How do I add qualifications to my candidates?
You can do it in two different ways.
1 - to search for a candidate and then add the qualification/s you are approved to offer.
2 - by searching for a qualifcation that you are approved to offer and adding it to your candidate.
You can add different candidates to different qualifications at the same time and vice versa.
If I find my candidate but the address is different, do I have to complete a form to update the address?
No, you can edit the candidate's details online and save straight away.

You must go to Forgotten Login Details under the login boxes of the homepage and follow the steps to get a temporary password.
How am I invoiced for entries?
There is no change to the way we invoice centres. Entries which are made one calander month are invoiced the following month ie entries made in May will be invoiced in June.
How do I withdraw/result/amend completion date for a candidate?
Once a candidate has current entries at your centre they will appear under View my Candidates. Select the candidate you want to make changes to and click Edit Entries and you can make changes to the open entries.
Can I see a candidate's previous achievements even if they are not at my centre?
You can search for any candidate but you must have a surname and date of birth to carry out the search. If the candidate has previous achievements from 1995 onwards, you will see them.
PBE stands for Process by Exception. There are two processes you would use PBE for. The first is when registering a candidate who has the same first initial, surname and date of birth of a candidate who already exists on our system and you know it is not the same person. The second is when you are entering a candidate for a unit that is part of a hierarchy such as for example a higher english unit but they are also doing a intermediate 2 english unit. If the PBE box is ticked, when the data is saved if it is not required a message will appear.
